Essential functions (job duties):
This position will help support the Director of the Center for Behavioral Health and Justice. This center supports numerous grants and is composed of forty-five employees and is a grant funded role. The Director requires assistance with numerous upper-level administrative tasks and operational processes.
Assist the Director of Operations with developing policies, procedures, and business processes that improve the overall operational process within the unit. Recommend and assist with implementing new business methods especially those that take advantage of technological advances to streamline personnel functions. Review and approve all timesheets.
Assist with problem-solving for higher-level issues, as delegated by the Director, to adhere to the University policies and procedures for HR and finance. Resolve issues relating to personnel. Support personnel activities and paperwork processing for the Center including onboarding, and offboarding.
Assist center with the interpretation of HR and finance. Serve as a resource for and liaison to other University units to interpret policy, resolve disputes, and maintain professional relationships among units and departments.
Manage and coordinate all purchase requisitions and payments to external vendors and train on University policy and procedures for maintaining fiscal compliance within the unit. Serve as P-Card Coordinator. Processes all honorariums, stipends, amendments, and addendums across all projects and Personal Services Contracts. Review and approve all travel requests. Collect, prepare, and process supply and equipment orders
Manage grant end date process by ensuring that end date and other notifications are provided to the research community on a timely basis.
Oversee details for CBHJ-related events in tandem with the General Operations Program Assistant including luncheons, meetings, workshops, and events including budgeting, invoices, ordering, parking arrangements, and travel arrangements for guests, etc.
Perform other related duties as assigned.
Qualifications:
Education Bachelor's degree
Degree in Business or Higher Education Administration/Management, Human Resources or a related field from an accredited college or university
Experience Intermediate (3 to 4 years job-related experience)
Experience in Human Resources and budgeting
Advanced working knowledge of University Policies and Procedures is preferred.
Knowledge, Skills, and Abilities
Understanding of organizational structure, mission, and objectives. Able to build extensive knowledge of university academic and non-academic policies and procedures, as well as collective bargaining agreements. Looks for ways to improve processes and quality while maintaining compliance.
Demonstrated ability to work effectively with a diverse range of stakeholders to oversee personnel operations and workflow. Collaborates effectively with colleagues to gain full understanding of each project and desired outcome. Able to produce high-quality and consistent results with the assistance of team members. Provides support to teammates when tackling complex projects.
Ability to identify, intervene, and resolve complex and unusual personnel problems or discrepancies. Able to analyze, review, and verify the accuracy of data and information. Ability to manage multiple projects, develop and implement realistic and strategic action plans, meet strict deadlines, and use good judgment. Ability to cope effectively with a fast-paced environment, in which changes and delays are common.
Ability to exercise a high degree of initiative and sound judgment in decision-making to achieve college goals and objectives.
Strong level of ethics and professionalism. Ability to maintain strict confidentiality of sensitive information and situations.

Excellent written and oral communication skills. High proficiency in editing documents for accuracy, grammar, spelling, and context. Able to summarize and present complex information effectively in professionally prepared documents or presentations.
Proficient in the use of Microsoft productivity software including, but not limited to, Microsoft Word, Microsoft Excel, and Microsoft PowerPoint. Experience with the University's Banner software system for finance and HR.
