Academic Data Management Specialist, College of Education

Position Purpose:

The Academic Data Management Specialist will conduct Academic data compilation, analysis, testing and research for use in accreditation, assessment, reporting, planning, and executive decision-making for the S/C/D. Provide comprehensive data analytics reports which may include budget, enrollment, financial, accreditation, Title II, US News and World Report, and any applicable S/C/D statutory reporting requirements. This position reports to the S/C/D Director.

Essential Functions:

Compile statistical data from multiple stakeholders and program areas for accrediting and reporting bodies such as, but not limited to, AACTE, CAEP, Title II, and U.S. News and World Reports College Rankings. Run comparative reports as required by the State of Michigan and/or other S/C/D statutory reporting requirements. Create data visualizations and reports that effectively communicate insights and support the S/C/D recruitment and retention programs and initiatives, program evaluations, program completion statuses, and other like programs. Monitor and adhere to all S/C/D applicable local, state, federal and professional reporting deadlines.

Collaborate with cross-functional teams to define data requirements and gather relevant information. Serve on committees and teams as a data subject matter expert for the S/C/D and consult with Assistant Deans, faculty, staff, program coordinators to determine data requirements. Stay abreast of changes to data requirements, expectations, standards. Collaborate on the design of user-friendly interfaces to access various data while maintaining confidentiality with sensitive information. Participate in database organization and data storage, identifying and resolving problems appropriate to assessment data and access.

Update and maintain Part Time Faculty (PTF) database including courses taught, rank and salary level. Provide annual pool update reports to Office of the Provost. Set up surveys and collect data for short/long term projects. Identify graduates for the State of Michigan for post-graduation survey information. Re-align data for CAEP requirement. Mine data for individual program reviews. Manage mid-term grade process and Final Grade process for the College, develop ad hoc and regular reports to meet college's information needs.

Analyze and process complex data sets using advanced querying, visualization, and analytics tools to furnish executive leadership with insights, analytics, reports, and recommendations enabling effective strategic planning across all units, and data-driven, action-oriented solutions to challenging business problems. Perform statistical analysis and quantitative studies, prepare and present summary reports for college decision-makers and information consumers. Extract, manage and integrate data from various data sources (Banner ODS, Canvas, State, and institution historical data repositories, IPEDS, Web, and other secondary sources).

Identify and design complex analytical studies and projects pertinent to all aspects of the operation of the College. Ensure the accuracy and integrity of academic records within the data management system.

Minimum Qualifications:

Education: Bachelor’s degree

  • Bachelor's degree from an accredited college or university in mathematics, quantitative data analysis, statistics, economics, information management, or related field.

  • Master’s degree preferred.

    Experience: Specialist (minimum 5 years of job related experience).

  • Experience designing and implementing quantitative and qualitative research required.

  • Experience with data management programming and Microsoft Office software.

  • Experience in writing and developing Cognos reports preferred.

  • Experience designing and implementing reliability and validity tests preferred.

  • Experience with statistical software (SPSS, SAS) preferred.

    Knowledge, Skills, and Abilities

  • Ability to use and access Qualtrics for Reports within and outside the university. Reasonable knowledge and understanding of university policies and procedures.

  • Proficient in the use of database software (Excel, Access, etc.). Extensive experience with Microsoft Office suite, especially Excel and similar reporting tools.

  • Ability to manage multiple projects simultaneously, prioritize and plan work activities while meeting respective deadlines. Strong organizational and time-management skills required.

  • Ability to evaluate, interpret, and present complex information effectively in professionally prepared, reports, documents, or presentations. Must possess demonstrated attention to detail with ability to achieve a high degree of accuracy.

  • Ability to lead and participate in teams and work groups effectively. Ability to produce high quality and consistent results with engagement and input of team members and provide support to teammates when tackling complex projects.

  • Ability to communicate clearly, concisely, and professionally both orally and in writing. Strong interpersonal skills are required. Must have multicultural awareness and sensitivity, with willingness to be collaborative in a highly diverse work environment.

  • Independent and innovative self-starter who displays an ability to learn quickly and easily adapts to changing situations. Experience researching topics to gain knowledge and understanding when information gaps exist.

    Preferred qualifications:

    Master’s degree preferred.
